Archiving hides a show from your events list and from the public listings while keeping every one of its records — attendees, orders, reports. Nothing is deleted; Noctern has no delete for a show.

Archiving

  1. Open AdminEvents and click the show.
  2. In the Lifecycle group, click Archive event.
  3. The confirmation says it will hide the show from the main list but preserve its data. Click Archive.

Once archived:

  • it leaves your Manage Events list and the public listing, search and feeds
  • the page still opens for anyone holding the direct link, where it says the show is no longer on sale
  • checkout refuses it, online and at the window
  • you can still open it from the archive to view it, edit it, copy it, or unarchive it

You cannot archive a show that still owes money

Noctern blocks archiving an upcoming show that still has live ticket sales. The dialog is headed Action Required Before Archiving and tells you to cancel the show and process all refunds first; the only button is Understood.

That block applies to an upcoming show with sales when it is not cancelled, and to a cancelled upcoming show that still has unrefunded orders. Work through Cancelling a show and refunding every order first, then come back.

A show that has already happened archives straight away — the block is about not stranding people holding tickets to something that will not take place.

On a multi-date run, the check is per performance. A night that is fully refunded archives even while a sibling night is still selling.

Finding an archived show

  1. Go to AdminEvents.
  2. Click View Archived at the top right. The page is headed Archived Events.
  3. The Archived Event List has one row per show with its title and date, and an Open button that takes you to the show's page.

The list is oldest first, a page at a time. Click Load more at the bottom to reach the rest — every archived show is reachable this way, none are stranded behind the first page. The line under the button tells you how many you are currently showing.

Putting one back

Open the archived show and click Unarchive event in the Lifecycle group — the button only appears on an archived show. The confirmation says the show returns to the main events list, and that if its date is still in the future it becomes visible to the public again.

Unarchiving restores the status the show had before, so check it: an unarchived show that was Active goes straight back on sale.

Archiving is not the same as hiding a show from everyone. Anyone with the link — an old email, a social post, a bookmark — can still open the page. A Draft is not a way to hide a show either: it stays out of the listing and cannot be bought, but anyone with its event link can open the preview page.

Try it yourself

Create a throwaway draft show, archive it, find it again under View Archived, open it, and unarchive it.
