When you add an artist, your venue fills in their profile. Claiming hands that profile to the artist: they connect it to their own Noctern account, keep it up to date themselves, and get an artist dashboard where they can see their deals with you.
There are two sides to it. Your venue sends an invite link; the artist opens it and confirms.
Venue side: send the invite link
Sending the link is for venue admins. Box-office staff accounts do not have access to artist pages.
- Go to AdminVenues[venue]Artists and open the artist.
- Find the Profile Claim card. If the profile has not been claimed, it says "This profile hasn't been claimed yet. Share the invite link with the artist to get started."
- If the card shows a link, click Copy. If it shows Generate Claim Link instead, click that first, then Copy.
- Send the link to the artist yourself — by email or text. Noctern does not send it for you.
An artist gets a claim link automatically when the profile is created — with New Artist or from the Discover tab. If a profile has no link yet, the card shows Generate Claim Link instead.
Whoever opens the link and confirms takes control of the artist's profile, including its tax (W-9) details, and can see that artist's deals and recorded payments. Send it only to the artist or the person who manages them. A deal's agreement link never includes the claim link — it has to come from you.
If the link went to the wrong person
Click Regenerate Link on the Profile Claim card. This makes a new link and the old one stops working. Do this before the wrong person uses it — once a profile is claimed there is no button to undo it; contact Noctern support.
Artist side: claim the profile
- The artist opens the invite link.
- If they are not signed in, a Sign Up Required box shows the artist name and which venue invited them. They click Create Account, create a Noctern account, and then open the invite link again.
- Signed in, they see Claim Artist Profile? with the Artist Name and Invited by your venue. They check it is the right profile and click Confirm & Claim.
- A "Profile Claimed!" message appears and they are taken to their artist dashboard.
The artist should claim with their own account, not a venue staff login. A venue admin account that claims a profile stays a venue admin account and cannot open the artist dashboard. A box-office staff account that claims a profile is switched to an artist account and loses its box-office access.
One person can claim more than one artist profile — a manager with several acts, for example. Each invite link is claimed the same way, and their dashboard then lets them choose which artist to work on.
What happens after the claim
- The Profile Claim card on the artist's page shows Profile Claimed and the date.
- The invite link is used up. It cannot be used a second time, and anyone who opens it again gets a page-not-found.
- The artist now manages the shared profile: name, photo, bio, genres, city and state, website, and their own tax (W-9) details. For your venue these become read-only, and the Edit page says "This artist profile is managed by the artist."
- Your venue's Private Notes and Activity Timeline stay private to your venue. The artist does not see them.
- The artist can sign in and see their deals with you under My Deals — see The artist dashboard.
Nothing about your deals changes. Deals you already created stay as they are, and you create, send, and settle deals for a claimed artist exactly as before.
Ask artists to claim before year-end. A claimed artist enters their own W-9 details on their dashboard, which is what the 1099-NEC is built from (see Artist payments).
