The Reports hub is the one page that links to every report for your venue.
Getting there
Click Reports in the admin sidebar.
- If you are already working inside a venue, this opens that venue's hub directly.
- Otherwise you land on a general Reports page first. Pick your venue if you manage more than one, then click Open [your venue]'s Reports hub.
Every report page has a Reports hub link at the top to bring you back.
The five groups
The hub shows report tiles in five groups, then an Exports card.
| Group | Tile | What it answers |
|---|---|---|
| Sales & attendance | Sales by event | What each performance sold and what it made — tickets, gross, fees, taxes, net. See Sales by event. |
| Performance summary | How full each house was — paid, comp, held, available, % sold. See Performance summary. | |
| Year-over-year | Two seasons or two performances side by side. See Year-over-year. | |
| Patrons | Patron lifecycle | First-time, returning, frequent and lapsed buyers. See Patron lifecycle. |
| Cross & repeat attendance | Who came to one kind of show and also came to another. See Cross & repeat attendance. | |
| Development | Donor retention | New, retained, upgraded, downgraded, lapsed and recaptured donors, this year against last. See Donor retention. |
| Gifts | Every gift — recorded, added at checkout, and imported history. See The Gifts report. | |
| Finance | Ticket ledger | Every ticket and every tender, for the bookkeeper. See Ticket ledger. |
| Payout reconciliation | Card payouts tied to your orders, and what is still owed to you. See Payout reconciliation. | |
| Stripe payouts (Connect) | Deposits made straight to your bank, for venues with their own connected Stripe account. See Stripe payouts (Connect). | |
| Daily cash | Cash drawer sessions — expected, counted, variance. See Cash drawer. | |
| Automation & marketing | Scheduled reports | Email a report daily, weekly or monthly. See Scheduling reports. |
| Marketing reports | Audience, promo codes, channels and sales pace. |
Two tiles can be missing or badged:
- Patron lifecycle is hidden until the venue has at least one order.
- Cross & repeat attendance is hidden until there is attendance data, and shows Not enough data yet while only future performances have sales.
Not on the hub, but related:
- Lapsed-donor lists (LYBUNT / SYBUNT) and donor totals are under Fundraising — see Development reports.
- One show's profit and loss is on the event itself — see Event Profit & Loss.
Exports — everything in one workbook
The Exports card at the bottom has one button, Download all venue data (.xlsx). It downloads every record for the venue — unfiltered, all time, every status — with tabs for Purchases, Donations, Patrons, Pledges and Households (plus Group Sales when your venue uses it).
This button needs the Exports permission. Without it the button is still shown, but clicking it ends in an Export failed message.
Who can see what
- Venue admins can open the hub and every report on it.
- Box-office staff have no Reports link in their sidebar, and no report will load for them.
Three permissions on the Team & permissions page narrow this further for an individual venue admin:
| Permission (as shown on the Team page) | What it controls in reports |
|---|---|
Exports (canExport) | Download all venue data (.xlsx), the whole Development reports page (on screen as well as its downloads), and the pledge reports. |
| Donor data | The Gifts report. Without it the report shows "Failed to load the gifts report." |
| Venue settings | Saving the settings reports depend on — seasons and lifecycle thresholds, daily sales email recipients, QuickBooks account names. |
The CSV and XLSX buttons on the other reports — sales, performance, lifecycle, attendance, donor retention, ticket ledger, payout reconciliation, daily cash — are available to every venue admin, with or without Exports.
The venue owner always has every permission. To change someone's permissions, open your venue from Manage Venues and click Team & permissions in the Setup card.
Running a report
Most reports work the same way:
- Set the filters at the top — usually Range, which offers Current season (the default), Last 7 days, Month to date, Prior month and Last 12 months.
- Click Run. Changing a filter does nothing until you do.
- Click CSV or XLSX to download exactly what the filters select.
If nothing matches, the report says No data for this selection.
How fresh the numbers are
Next to the download buttons most reports show Updated … ago and a Refresh button.
| Reports | How current |
|---|---|
| Ticket ledger, Daily cash, Gifts | Worked out fresh every time you run them. |
| Sales by event, Performance summary, Year-over-year | The on-screen view can be up to 12 hours old. Click Refresh for current numbers. A CSV or XLSX download is always worked out fresh. |
| Patron lifecycle, Cross & repeat attendance, Donor retention | Built from data that is rebuilt once a night. Today's sales and gifts appear tomorrow — Refresh does not pull them in. |
| Payout reconciliation | Card payout data is kept for up to 6 hours before it is fetched again. |
The first run of a big range can take up to a minute; later runs are quick.
