Venue Admin

The Nonprofit Settings card holds three things donors see over and over: the name of your organization, the closing wording on their receipts, and the dollar amounts they are offered when they give. Set them once, before you take your first gift.

Before you start

  • Venue Admin with the Venue settings permission (set on the Team page) can save this card. The venue owner always has it. A venue admin without that permission can open the page and read the card, but saving fails.
  • Box-office staff can't open this page.
  • The card only appears once nonprofit features are switched on for your venue. If you can't find it — or the Fundraising card on the venue hub is greyed out as "Nonprofit features not enabled" — ask Noctern support to turn this on.

Open the card

  1. Go to AdminVenuesEdit — on the venue hub the link is Edit details, in the Setup card. The page is titled Edit Venue.

  2. Scroll to the Nonprofit Settings card and open it. Its description reads "501(c)(3) receipt info + donation presets."

  3. Fill in the three fields below, then click Save Nonprofit Settings. This card has its own save button — the page's main save does not save it. A "Nonprofit settings saved" message confirms it.

501(c)(3) Legal Name

The registered name of your organization, when it differs from the venue's public name (for example, a theater run by "Twin Cities Music Foundation"). When none is saved, the venue name is used in every place below.

It appears:

  • On gift acknowledgments — in the email subject, the thank-you line, and the heading of the PDF letter.
  • On year-end statements — as the heading of the PDF and in the subject of the email that carries it.
  • On your public donate page — the page is headed "Donate to" followed by this name.
  • At online ticket checkout — the donation card is titled "Support" followed by this name. Without a legal name the card is titled Add a donation instead.
  • On ticket confirmation emails — an order that included a donation shows a "Donation to" line with this name.
  • In the email sent to the person notified of an in honor of / in memory of gift.
  • On the buyer's card statement for ticket sales, in shortened form (letters and numbers only, cut to 12 characters), unless a Card statement name has been set in the Confirmation instructions card on the same page.

Donation Receipt Statement

Your closing wording for donors — typically the sentence saying no goods or services were provided, that you are a 501(c)(3) organization, and your EIN. It is printed word for word; Noctern does not edit or add to it.

It appears:

  • At the end of every gift acknowledgment, emailed or printed.
  • At the end of every year-end giving statement.
  • On the ticket confirmation email for an order that included a donation, in a box headed "Donation receipt".

What happens when none is saved is different in each place, so check all three:

| Where | With no statement saved | |---|---| | Gift acknowledgment | No closing wording at all. The receipt still states the gift amount and the tax-deductible amount. | | Year-end statement | A standard sentence is used: "No goods or services were provided in exchange for these contributions except as noted (fair market value shown). Please retain this statement for your tax records." | | Ticket confirmation email | The "Donation receipt" box is left out. The donation line still shows. |

Noctern does not check this wording, and the standard sentence on year-end statements does not name your organization or its tax status. Have whoever is responsible for your tax receipts approve the statement before you send the first acknowledgment.

Donation Presets ($)

The suggested amounts a donor can pick with one click. Type them as dollar amounts separated by commas — for example 10, 25, 50, 100. Anything that isn't a number above zero is dropped when you save.

They take effect in three places:

  • Online ticket checkout — a paid order shows the donation card with a No thanks button, one button per preset, and a Custom $ box.
  • Box office — the same card, titled Add a donation, appears on a sale.
  • Your public donate page — the presets are the amount buttons, next to an Other $ box.

A donor can always type their own amount, whatever presets you choose.

With no presets saved, the two behave differently: the donation card does not appear at checkout or at the box office, while your public donate page still works and offers $25, $50, $100, and $250.

Different presets for one event

To offer different amounts on a single event, open the event's edit page, find the Nonprofit card, and fill in Donation presets override ($). Leave that box blank and the event uses the venue presets from this card.

Your EIN is set somewhere else

The EIN is not in this card. Enter it in EIN (Optional), in the Venue Details card at the top of the same page, in the format 12-3456789, and save the page. When saved, it is printed after your organization's name on gift acknowledgments and under your organization's name on year-end statements. If you also type the EIN into your Donation Receipt Statement, it will appear twice on those documents.

Watch out

Changes apply from the moment you save, and only to what is produced afterwards. A receipt already emailed and a year-end statement already generated keep the wording they were sent with. Run a new statement batch to rebuild statements with the new wording — see Year-end giving statements.

To change a saved value, type over it and save. Emptying a box and saving may not remove what was saved before — reload the page to check. If the old value comes back, contact Noctern support to have it cleared.

Try it yourself
  • Open the demo venue's Edit Venue page and find the Nonprofit Settings card. Note the legal name, the receipt statement, and the four presets.
  • Click Preview donate page on the Fundraising page and match the amount buttons to those presets.
  • Open the Acknowledgments queue, download a PDF letter, and find the legal name at the top and the receipt statement at the bottom.
