A year-end giving statement is a single PDF summarizing everything a donor gave in a tax year — the document they actually file with their taxes, as opposed to the acknowledgment they got after each individual gift.

Before you start

Venue Admin or Super Admin.

Generating a batch

Go to AdminVenuesFundraisingStatements.

  1. Pick a Tax year, and optionally set a Minimum total ($) to skip small donors. The form shows a live count of how many donors qualify as you adjust these.

  2. Click Generate to create PDFs for download only, or Generate & email to also email every donor with a deliverable address.

  3. Watch the batch progress in the Batches table — it runs in the background and shows done/total/failed counts while it works.

Once a batch finishes, the statements table below it lists each patron's deductible total, gift count, whether and when it was emailed, and a link to the PDF.

Statements are tax documents, so they're emailed regardless of a donor's marketing opt-out. Donors without a deliverable email address are still generated — just for download only, not emailed.

What's included

Only completed gifts dated within the tax year (in your venue's timezone) count. The deductible amount on each line is the gift amount minus any fair-market-value of goods or services received, floored at zero. Fee-cover add-ons, voided gifts, and soft credits are all excluded. Restricted-fund gifts are grouped separately with the required disclosure.

Watch out

Generating a batch does not require your venue's EIN to be set — the EIN only appears as an optional line on the PDF if you've entered it in venue settings.

If you need custom disclosure language instead of the standard 501(c)(3) statement, set it once on AdminVenuesEdit — it applies to both acknowledgments and year-end statements.

Try it yourself
  • Open the demo venue's Statements page and review the 2025 batch that's already run.
  • Start a new batch for the current tax year with Generate (not Generate & email) and watch the donor-count preview change as you adjust the minimum total.
