Checking in guests with QR scanning (web browser)

There are two check-in pages, and it's worth knowing which is which:

  • Check-in Scanner (AdminEventsCheck-in Scanner, opened from a specific event) — the camera QR scanner and a Manual Check-in tab. This is where you actually scan tickets.
  • Check-in Status (AdminBox OfficeCheck-In) — pick a venue and event to see a seating-chart overview of who's checked in, plus its own Manual Check-in tab. It does not have a camera scanner.

For scanning tickets at the door, use the Check-in Scanner page on the specific event.

Scanning a ticket

  1. Open the event's Check-in Scanner page. Your browser will ask for camera permission — allow it.

  2. Point the camera at the patron's QR code (on their phone or a printed ticket). The scanner detects it automatically.

  3. Read the result and let the guest in, or handle the exception below.

Reading the result

If a ticket was exchanged, ask the guest for their most recent confirmation email — the new ticket's QR code is the one that scans successfully.

The camera scanner does not display the patron's name or seat on the result card — only the status message. If you need to confirm who's being checked in, use the Manual Check-in tab instead, which shows name, seat, section, email, and order id in a searchable table.

The camera scanner checks a ticket's exchanged/already-checked-in state, but it does not separately block a refunded or cancelled ticket the way manual search does — if such a ticket hasn't been scanned before, the scanner may still show it as valid. If a refund or cancellation seems out of sync with what you're seeing at the door, switch to Manual Check-in and search by name or order id, which does show and enforce the ticket's real status.

When the camera can't read the code

  1. Switch to the Manual Check-in tab.

  2. Search by name, email, order id, or seat — whatever the guest can give you.

  3. Click Check In on the matching row. This path enforces the ticket's actual status — a refunded, cancelled, or otherwise invalid ticket is rejected here.

The guest list

Both check-in pages can produce a Download Attendee List PDF (not a live web list) — useful as a backup if you expect to lose connectivity, or for a printed door list.

Before working offline at a venue with unreliable Wi-Fi or cell service, download the attendee list PDF first as a fallback.

Open Admin → Box Office → Check-in for an event, allow camera access, and scan one valid ticket. Then scan the same ticket again and read the warning, and finally find that guest through the manual search box by name.
