Box OfficeVenue Admin

For a sold-out house, a no-signal door, or a venue that just prefers paper, you can work the door off a printed list and tick guests off with a pen — then photograph the sheet and have Noctern check all of them in at once. No typing, no scanning guest by guest.

1. Print the door list

Open the performance's Check-in page (AdminEvents[event] → Check in attendees) and click Download Attendee List. You can also get the same PDF from AdminBox OfficeCheck-In, on the Manual Check-in tab.

The PDF is landscape, sorted by surname (names printed last-name-first), and every row has:

  • a printed row number on the far left,
  • an empty tick box next to it,
  • then the attendee's Name, Seat / Section, Membership and Order ID.

A grey rectangle is printed around the row-number and tick-box columns — that's the strip the camera reads later. Each page carries the venue, performance, date and time in the header plus a page number, and the top-left corner of the first page has a QR code that identifies this particular printout.

Every download creates a new sheet with its own QR code, tied to the attendee list as it stood at that moment. Print the list as late as you can before doors, print it once, and work from that one copy. A sheet printed yesterday won't know about today's sales, and two sheets of the same show are two different sheets.

2. Tick guests off at the door

Mark the tick box in the second column with a pen or pencil as each guest arrives. That column is the only one Noctern reads.

Keep marks inside the box and out of the other columns. A tick, scribble or note in the Name, Seat or Order columns is ignored, and a stray mark that drifts into the box column can check in the wrong person. Don't tick a row you aren't admitting.

3. Photograph the sheet

  1. On the Check-in page's QR Scanner tab, scan the QR code on the first page of the sheet. The page switches to Capture Check-in Sheet and shows the sheet's id.

  2. Click Scan Next Page. The camera opens with two blue vertical guide lines on screen.

  3. Line the sheet up so the row numbers and the tick boxes sit between the two blue guides — only that strip of the page is photographed. Then click Take Snapshot.

  4. It reads the page and shows Batch Check-in Preview: how many ticks it found on this page, the running total so far, and the name and seat of every guest it's about to check in.

  5. For a multi-page sheet, click Scan Another Page and repeat. The totals accumulate across pages, and a guest photographed twice is only counted once.

  6. When every page is in, click Confirm Check-in ({n}). You'll see Successfully checked in {n} attendees and the page returns to the normal QR scanner.

Read the preview list before you confirm. The reading is done from a photo and it's told to be cautious — a faint, tiny or blurry tick may be read as unticked. Anyone missing from the preview isn't checked in; re-photograph the page in better light, or check them in by hand on the Manual Check-in tab.

Cancel at any point throws away everything accumulated and goes back to the QR scanner — nothing is checked in until you press Confirm Check-in.

What gets checked in, and what doesn't

Confirming only ever checks in tickets that were on that sheet — a row that isn't on it can't be admitted this way, however the photo is read.

Every ticket then goes through exactly the same admission decision as a scanned QR code, so:

  • A ticket already checked in is left alone and counted separately rather than double-counted.
  • A ticket that has been refunded, voided, exchanged, transferred, or is under a payment dispute is refused, even if the row is ticked. It will not be let in by this route.
  • Everything else is checked in, with the time you pressed confirm.

Tickets sold after you printed the sheet aren't on it at all. Check those guests in on the QR Scanner or Manual Check-in tab as usual, or reprint and work from the newer sheet.
