Lesson 14 of 20

The Gifts report — every gift by fund, appeal and source

Venue Admin

The Gifts report lists every gift to your venue for a date range — the ones your staff recorded, the ones patrons added at checkout, and the ones imported from a previous system — and keeps imported money out of your raised total.

Open the Reports hub (Reports in the admin sidebar) and click Gifts under Development.

This report needs the Donor data permission. Without it the page shows "Failed to load the gifts report."

Filters

FilterWhat it does
FromFirst day to include
To (exclusive)The day after the last day to include. To cover all of June, set it to July 1
FundOne fund, or All funds
AppealOne appeal, or All appeals
SourceAll sources, Checkout add-on, Recorded or Imported history

The dates open on your venue's current season, or the year to date if no seasons are set up. Click Apply after changing a filter.

Totals

Four tiles sit above the table:

TileWhat it shows
RaisedMoney raised through Noctern — gifts your staff recorded plus gifts added at checkout
Imported historyGifts brought over from a previous system. Kept separate, and never added to Raised
GiftsHow many gifts
DonorsHow many different donors

The tiles follow the dates, Fund and Appeal, and count completed gifts only. They do not follow the Source filter — choosing a source narrows the table underneath, while the tiles keep showing the whole picture. The Gifts and Donors counts include imported gifts.

Columns

ColumnWhat it shows
DateThe date of the gift
PatronThe donor. Click the name to open their patron record
FundThe fund the gift was given to
AppealThe appeal it was a response to, if any
SourceWhere the gift came from — see below
AmountThe amount of the gift
AcknowledgedYes once an acknowledgment has been sent, otherwise No

The Source column is more specific than the filter:

CheckoutAdded to a ticket order at checkoutCheckout add-on
ImportBrought over from a previous systemImported history
Donate pageGiven on your venue's donation pageRecorded

Ticket refundA refund the patron turned into a giftRecorded

The table can list gifts that are not completed — a voided gift, for example — while the tiles count completed gifts only. If the rows add up to more than Raised, that is why.

The report lists up to 2,000 gifts. For a longer period, narrow the dates and run it in parts.

Downloading

CSV and XLSX download the rows currently listed, with the same seven columns.

Reconciling a campaign? Pick the Appeal, set Source to All sources, and read Raised — it is that appeal's total without imported history mixed in.

Try it

Run the Gifts report for the current season, set Source to All sources, and note the Raised and Imported history tiles. Then pick one appeal and see how Raised changes.

Checkpoint

Answer all 3 questions correctly to mark this lesson complete.

  1. 1. What is kept out of the Raised tile?

  2. 2. To cover all of June, what should the To date be?

  3. 3. Why might the table rows add up to more than Raised?
