Fundraising / donation reports

Venue AdminSuper Admin

The fundraising reports give you a complete picture of donation activity for any date range — total gifts received, who gave, outstanding pledge balances, and which donors gave last year but not this year.

Go to Admin → Venues → [your venue] → Fundraising → Reports.

The page has tabs for each report view. The default date range is the current calendar year.

Gifts

The Gifts tab shows a line or summary of all completed gifts in the selected date range:

  • Total giving — sum of all gift amounts
  • Gift count — number of individual gifts
  • Gifts table — date, donor name, amount, fund, and payment method per gift

Export the gifts table to CSV or XLSX with the Download button.

Donors

The Donors tab shows per-patron totals for the date range:

  • Patron name, total amount given, and gift count
  • Useful for identifying top donors in a fundraising period

LYBUNT and SYBUNT

1Page heading

These two tabs identify donors who gave in the past but have not given in the current year:

| Classification | Definition | |---|---| | LYBUNT | Last Year But Unfortunately Not This Year — gave in the previous calendar year but not in the current year | | SYBUNT | Some Year But Unfortunately Not This Year — gave in any prior year but not in the current year |

LYBUNT is typically a more urgent list: these donors were active recently and are at risk of lapsing. SYBUNT includes longer-lapsed donors who may need a different reactivation message.

Export either list to target these donors with a re-engagement campaign.

The Gifts report (Reports hub)

The tabs above live under Fundraising and total completed gifts for the selected date range. For a report that lists every individual gift — labelled by source (checkout add-on, recorded, or imported pre-Noctern history) and filterable by fund and appeal — see the Gifts report at Admin → Venues → [your venue] → Reports → Gifts. It keeps money Noctern actually raised (checkout and recorded gifts) and imported historical gifts in two separate totals, so an imported balance is never counted as revenue.

Pledge aging

The Pledge aging tab shows outstanding pledges with unpaid installments:

  • Pledge total, patron, fund, and outstanding balance
  • Past-due installments highlighted in amber
  • Useful for follow-up calls or payment-link emails

Use the LYBUNT export as the recipient list for a reactivation campaign. In the campaign composer, use the "Saved audience" mode and upload the LYBUNT patrons, or build an Advanced audience rule with "Lapsed donors."

Try it

Run the gifts report for the current year at your venue, then switch to the donors tab and sort by total. Finally open the lapsed-donor view and note how many patrons gave last year but not this year.

Checkpoint

Answer all 3 questions correctly to mark this lesson complete.

  1. 1. What does LYBUNT identify?

  2. 2. What does SYBUNT identify?

  3. 3. What is the default date range on these reports?
