Venue Admin

Every patron has one detail page that brings together their giving, their tickets, and their contact history. It's the page you'll live in as a development staffer.

Before you start

  • Venue Admin with the Donor data permission (set on the Team page). The venue owner always has it.
  • Box-office staff can't open this page — it shows "Patron not found." for them. They look patrons up from the box office instead.
  • Open a patron by clicking their name on the Patrons list (AdminVenues[venue]Patrons), on a household's page, or in the duplicate-review queue.

The header

Six rollup tiles run across the top: Lifetime value (giving plus ticket spend combined), Ticket spend, Orders, Last order, Lifetime giving, and Gifts. If the patron belongs to a household, a chip beneath the name links to it; otherwise you'll see Create household and Add to household… buttons.

Header buttons: Export CSV (this one patron's record), Merge into…, and Record a gift.

Tabs

  1. Giving — the Gifts table (Date, Amount, Method, Status, Actions), a Year-end statement row linking to the current and prior tax year's PDF, and — if this patron has been credited for someone else's gift — a Soft credits card badged "not counted in totals."

  2. Tickets — live Noctern purchases, plus a separate imported-orders card for orders brought over from a previous system. Imported orders are read-only and capped at 50 shown, with a "Showing 50 of N imported orders." note when there are more.

  3. Marketing — an Email consent card (Can receive marketing email, Venue suppression (do-not-email), and the patron's own Global promo-email preference) and an Email deliverability card (Last email event, and whether mail to them has Bounced or drawn a complaint).

  4. Interactions — under Log an interaction, pick a type from the dropdown (note, call, email, meeting, letter, ask, thank_you, or event), type what happened, and click Add.

  5. Details — editable contact fields, custom field values, and household membership, plus read-only information: the mailing address on file, External records from a previous system, and Merge history.

  6. Activity — a combined timeline of staff actions, interactions, gifts, and purchases for this patron. Use the All / Staff actions / Notes / System buttons to narrow it.

Coming soon: the Campaign engagement card on the Marketing tab (campaign sends, opens/clicks, attributed revenue) isn't wired up yet — it's a placeholder and shows no data.

Editing a patron's details

  1. Open the Details tab.

  2. Update name, email, phone numbers, company, salutations, the Donor recognition name, or tags (comma-separated). Check Do not email, Do not call, or Do not mail to keep the patron off those lists. If mail was returned, record the date and a note under Mail returned / address invalid.

  3. Fill in any custom fields your venue has defined for patrons. If a required custom field is left empty you'll see "Could not save" — fill it in and save again.

  4. Click Save details.

Every saved edit is recorded in the Activity log with a before/after comparison. The mailing address is shown on this tab but can't be changed here.

Watch out

Imported historical orders are display-only — they show a patron's pre-Noctern ticket spend but can't be refunded or exchanged through Noctern, because they were never real Noctern purchases. Don't confuse them with live orders when reconciling a patron's activity.

A patron's External records on the Details tab exist so a later re-import recognizes them instead of creating a duplicate. They're read-only — there's nothing to edit.

Try it yourself
  • Open a patron with giving history in the demo venue and read through all six tabs.
  • On the Interactions tab, choose thank_you in the dropdown, type a short note, and click Add.
  • Check whether the patron has a household chip under their name — if not, note the Add to household… button for the Households topic.
