Lesson 18 of 20

Ticket ledger — every ticket, every tender

Venue Admin

The ticket ledger lists every ticket sold in a period — one row per ticket — with its money and the exact tenders that paid for it. It is built for whoever keys ticket sales into the accounting software, and for reconciling the cash drawer and the card payout.

Open the Reports hub (Reports in the admin sidebar) and click Ticket ledger under Finance. Venue admins can open and download it; box-office staff cannot.

Filters

Set the filters, then click Run — nothing changes until you do.

FilterWhat it does
RangeWhich sales to list, by sale date in the venue's time zone. Quick picks: Today (the default), Yesterday, Last 7 days, Month to date, Prior month. Choose Custom dates… to pick a From and To day (both included).
PerformanceOnly tickets for one performance.
TenderOnly orders paid at least partly with that tender. A split cash + gift card order appears under both Cash and Gift card, with all of its tickets.
SellerOnly sales rung up by one staff member (type part of their name).
Include imported historyAlso list tickets imported from your previous ticketing system. They are off by default because they are already in your books.

Columns

ColumnWhat it shows
Sold atDate and time of the sale, in the venue's time zone
OrderThe order number
TicketThe ticket id — one row per ticket
Event / PerformanceThe show and the date and time of the performance
SeatSection, row and seat, or the general admission tier
Patron / EmailWho bought the ticket. Door walk-ups without a receipt show "Walk-up"
Unit priceThe ticket's face price
Discount / Discount codePromo, membership or other discount on this ticket, and the promo code when one was used
Fees / TaxThis ticket's share of the order's Noctern service and card fees, and its sales tax. Your own box office fee is not in Fees
DonationThis ticket's share of a donation added at checkout
Delivery feeThis ticket's share of a ticket delivery (mail) fee
Day-of-showThe day-of-show upcharge on this ticket
OtherAdd-ons and any order-level difference, so the row always adds up
Total paidWhat was tendered for this ticket — the sum of its tender lines
Net to venueThe venue's ticket revenue on this ticket (the payout basis)
PricingPlus fees — fees and tax are charged on top of the unit price. All-in — fees and tax are already inside the unit price, shown so you can split them out
TenderHow the ticket was paid, for example Cash $20.00 + Gift card ****1234 $19.00 ($31.00 left)
SellerThe staff member who rang up the sale (blank for online sales)
RegisterThe door POS device that took the sale
ChannelOnline, Box office or Door POS (Imported for imported history)
Status / Status detailSold, Refunded, Refund pending, Exchanged or Cancelled, with the date, how a refund was paid back, and the other ticket of an exchange
Imported / Imported face valueMarks imported history (only when included). Imported rows never carry money in the other columns

Every row adds up to what was tendered for it:

Total paid = Unit price − Discount + Fees + Tax + Donation + Delivery fee + Day-of-show + Other

On All-in pricing, Fees and Tax are already inside the unit price, so they are left out of the sum.

One amount has no column of its own: your venue's box office fee. On a plus-fees box office or door sale that carried one, Total paid is higher than the columns above by that ticket's share of the fee. The fee is on the order, on the QuickBooks Desktop journal as its own line, and in the Fees column of Sales by event.

When an order has several tickets, its fees, tax and tenders are shared across the tickets to the cent, so the rows of an order always add back to the order.

How tenders are shown

TenderExampleNotes
CashCash $27.00
CardVisa ****4242 $48.70Card brand and last 4. "(tap)" marks door Tap to Pay, "(keyed)" a card keyed at the box office, "(offline)" a card taken while the door device was offline. Sales made before card details were recorded show just "Card"
Gift cardGift card ****7K2Q $30.00 ($20.00 left)The last characters of the gift card code and the balance left on it right after this order. Venue credit shows as "Account credit"
CheckCheck #1042 $30.00The check number when staff entered one
CompComp or Comp ($20.00 face value)A ticket given away. No money changes hands. A comp rung up at the box office shows its face value in Discount and plain Comp here; the face-value form appears when the giveaway was not recorded as a discount
Exchange creditExchange credit $40.00 from order …The value carried over from the ticket it was exchanged from, plus any extra paid by card or cash
OtherOther (ref) $25.00A tender recorded as "other", with the reference staff entered

Summary tiles

The tiles above the table total the listed rows.

  • Always shown: Tickets, Gross, Discounts, Fees, Tax, Net.
  • Under Tenders: Cash, Card, Gift card and Comp always, plus Check, Exchange credit and Other when used.
  • Shown when there is something to show: Donations, Delivery fees, Day of show upcharges, Other charges, Comp tickets, and Refunded since — the money returned so far on the listed orders.
  • Under Imported history, when your venue has any: Imported tickets, Imported face value and Imported tickets hidden.

The Delivery fees and Day of show upcharges tiles are shown rounded to the whole dollar. The exact amounts are in the table's Delivery fee and Day-of-show columns.

The tender tiles add up to everything buyers paid on the listed orders: Gross − Discounts, plus fees, tax and your box office fee on plus-fee sales, plus donations, delivery fees, day-of-show upcharges and other charges.

A line above the tiles repeats the range and counts the tickets and orders listed.

Reconciling the cash drawer

  1. Run the ledger for the day (or pick Yesterday the next morning) and set Tender to Cash.
  2. Compare the Cash tile with the cash counted in the drawer. The Cash tile includes the cash part of split orders.
  3. For a drawer per person, add the Seller filter. For a drawer per door device, download the XLSX and sort by the Register column — there is no Register filter on this report.

For door registers that open and close a drawer in the app, Daily cash does this comparison for you.

Reconciling card payouts

The Card tile is the card money charged on the day's sales. The card processor pays that out a few days later, less processing fees and any refunds, so the bank deposit will not match the tile exactly. Use the Payment reference column on the XLSX Tenders sheet to match individual charges, and Payout reconciliation to tie each deposit to its orders.

Refunds and exchanges

A ticket stays on the ledger under the day it was sold, with its original amounts, even after it is refunded or exchanged. Its Status changes and Status detail shows when and how. Run the ledger for the sale date to see the original sale; the Refunded since tile shows how much of those sales has been given back.

Exports

  • CSV — the table as shown, money with two decimals.
  • XLSX — two sheets: Ticket ledger (the table) and Tenders, with one row per tender line per ticket: tender type, amount, card brand and last 4, gift card and balance left, and the payment reference.

Gift certificate sales and membership sales are not tickets, so they are not on this ledger. Neither are the copies of a ticket created when a patron transfers it to someone else — the ticket is listed once, under its original sale.

QuickBooks Desktop journal

Under the ledger, QuickBooks Desktop journal turns the day's sales into one balanced general journal entry — including that day's gift card sales and refunds — that you can import into QuickBooks Desktop instead of keying the day by hand. See QuickBooks Desktop: importing the daily journal.

To have yesterday's ledger emailed every morning, create a daily schedule for Ticket ledger with the range Yesterday — see Scheduling and emailing reports automatically.

Try it

Run the ticket ledger for yesterday at your venue with the tender filter set to Cash, compare the Cash tile with what was counted in the drawer, then export the spreadsheet and open the Tenders sheet.

Checkpoint

Answer all 3 questions correctly to mark this lesson complete.

  1. 1. A ticket sold last Tuesday is refunded today. Which day's ledger lists it?

  2. 2. Why will the bank deposit not match the Card tile exactly?

  3. 3. Which sales never appear on the ticket ledger?
